Position Summary

 

The primary function of the Registration Team Manager position is to provide excellent customer service to guests as they register for SpringHill events.  The OVR Registration Team Manager works closely with the Indiana Resident Camp Director and the Michigan Registration Department to organize summer offerings, coordinate housing, manage and constantly improve the customer interface experience.

 

Principal Duties and Job Functions

  • Lead the SpringHill Registration Team for the INON location including the Part Time Registrar as well as the Summer Registration Assistant
  • Manage Registrars and accomplish results by communicating job expectations, planning, monitoring, assigning responsibilities, and appraising job results
  • Maintain a high quality of customer service by analyzing, designing and enforcing procedures and policies
  • Oversee Registration with on-line registration software including Summer Camp programs and Programmed Retreats
  • Lead the Customer interaction experience on the phone including managing all Summer season and off-season receptionists
  • Assure Customer satisfaction
  • Assist in the training of OVR Day Camp Administrators and provide support for them during the summer season including managing incoming Day Camp paperwork and answering Day Camp related phone calls
  • Lead the Opening and Closing Day Summer Camp experience at INON including assigning housing, preparing necessary check in and check out paperwork, leading the pre-registration charge, and casting the vision to summer staff
  • Manage all pre-arrival details for Programmed Retreats including registration, welcome packets, customer calls, housing assignments, email correspondence and check in
  • Manage Summer Camp waitlists, problem solving as needed to assure maximum camper enrollment
  • Manage and process all incoming paperwork including registration forms, scholarship applications, and camper health forms
  • Generate and analyze reports to provide Leadership Team with requested details about enrollment
  • Work with the Development Team to identify scholarship campers and enroll them for the summer season.
  • Support Marketing and Development Team by reviewing and updating website, promotional materials, and mailers
  • Work with software vendors and all levels of SpringHill staff to continue to improve how registration and database software works for SpringHill. Creatively identify appropriate internal system process changes, where appropriate, to maximize software effectiveness and efficiency. Coordinate cost effective modifications of software with vendors and staff. This function is to be seen mainly as an assistant with the main leader of this function being the MI Registration Team Manager

Experience and Qualifications Requirements

Knowledge Skills and Abilities 

  • Bachelor’s Degree required

  • Proven Customer Service Skills experience preferred
  • Excellent written and verbal communication skills are required.

 Working Conditions and Physical Requirements

  •   Must be able to lift, bend, and twist
  •   Ability to push and pull loads
  •   Must be able to lift frequently up to 35 lbs, occasionally 35-100 lbs with   assistance
  •   Good eye-hand coordination
