At the Lausanne Movement, we are passionate about accelerating global mission, and we are looking for an Executive Assistant to the CEO to join our team of change-makers. 

Lausanne recruits staff that have a strong active faith in Christ and see that everything they are involved in life is in some way a part of their overall ministry. Position Summary

The Executive Assistant is the right hand to the CEO executing administrative tasks, scheduling appointments and managing communications to ensure timely decision making and enabling the effectiveness of the CEO.

Functions and Responsibilities 

Scheduling and Calendar Management

  • Manage the CEO’s calendar ensuring that it is up-to-date and that appointment requests are filtered and scheduled.
  • Conduct weekly reviews of the calendar and appointments with the CEO to optimize time management.
  • Manage appointments in the CEO's calendar and travel that align with clear priorities or discussed preferences.

Meeting Preparation and Time Management 

  • Ensure that the CEO arrives in meetings well prepared with the required documentation provided to him ahead of time. 
  • Prioritize tasks and manage the CEO's time effectively.
  • Ensure that action items from meetings are tracked and completed.

Administrative Support

  • Manage travel arrangements for the CEO by booking airline tickets, booking hotels and making land travel arrangements. 
  • Coordinate logistics of meetings when traveling and communicate the CEO’s travel arrangements to necessary stakeholders involved in the trip. 
  • Manage and submit expenses on behalf of the CEO in accordance with the corporate expense policy.

Meeting Notes and Communication 

  • Attend meetings with the CEO both in person and remotely to take detailed notes ensuring that effective follow-up can take place. 
  • Ensure prompt and efficient handling of the CEO's incoming correspondence, facilitating timely responses with well-crafted drafts and reminders when necessary.
  • Make decisions about what information is prioritized for the CEO's attention, demonstrating strong communication skills and a commitment to maintaining confidentiality.

  • Proven administrative skills. 
  • Exceptional organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • High proficiency in calendar management and travel coordination.
  • Strong time management skills and flexibility to adapt to changes.
  • Ability to frequently travel domestically within the USA and internationally.

Spiritual

  • A follower of Jesus Christ.
  • Affirmation of the Lausanne Covenant, the Cape Town Commitment and Lausanne’s Code of Conduct. 
  • Ability to interact sensitivity with people from diverse Christian theological perspectives within the global Body of Christ, under the common commitment of the Lausanne Covenant. 
  • A personal sense of commitment to the cause of accelerating global mission.
